Administrative Assistant Research and Graduate Studies
This position reports to the Associate Dean Research ADR and provides clerical and administrative support to the Office of Research and Graduate Studies. This position is to provide administrative support to the Office Research and Graduate Studies including but not limited to managing the ADR’s calendar creating and responding to routine correspondence arranging workshops and seminars managing committee meetings and assisting with arrangement and management of travel and conferences.
Responsibilities include but are not limited to
• Supports the activities of the Office of Research and Graduate Studies by carrying out duties requested or assigned by the Associate Dean Research and the Graduate Program Coordinator.
• Responds to telephone email and inperson inquiries including managing the UCQ Research and Graduate Program general mailing lists.
• Supports and manages meetings chaired by the Associate Dean Research and the Graduate Program Coordinator including distribution of meeting agendas and recording distributing and following up on minutes of meetings.
• Communicates with faculty and staff information activities and matters related to research and graduate studies.
• Provides assistance in preparation of monthly reports and reports for Joint Oversight Board meetings.
• Acts as a backup to the Research Grants Officer as required by the Associate Dean Research.

Skills
• Must be fluent and have strong spoken and written skills in English. Fluency in spoken and written Arabic is an asset.
• Several years of general office and administrative experience ideally in an educational setting.
• Highly developed technical skills and strong experience using computerbased software such as the Microsoft Office suite including Word Excel PowerPoint electronic emailcalendar systems experience with Internet. Ability to learn and use specialized computer programs such as the PeopleSoft System.
• Excellent communication and customerservice skills inperson and on the telephone and the ability to communicate calmly and effectively with clients from a variety of backgrounds and English language skills
• High level of attention to detail and accuracy.
Education
• Minimum bachelor degree. A management or businessrelated degree would be preferred.
