IT Procurement Assistant
The successful candidate will be responsible for Procurement Management of all IT equipment on behalf of IT and Business requesters.
Processing requests and information in a timely manner ensuring Purchase Orders are raised and orders places with respective vendors.
Other key responsibilities will include FinancialContractAsset Management of all IT resources ensuring contract renewals are raised asset management processes for Hardware and Software are enforced and adhered to.
•Receive and manage all requests for Purchase internal ITBusiness liaising with respective Heads of Service to ensure accurate processing of customer requests.
•Compare prices specifications and delivery dates in order to determine the best bid among potential suppliers.
•Prepare purchase orders and send copies to suppliers and to departments originating requests.
•Demand Forecasting determine if inventory quantities are sufficient for needs ordering more materials when necessary.
•Respond to customer and supplier inquiries about order status changes or cancellations
•Perform buying duties when necessary.
•Contact suppliers in order to schedule or expedite deliveries and to resolve shortages missed or late deliveries and other problems.
•Review requisition orders in order to verify accuracy terminology and specifications.
•Prepare maintain and review purchasing files reports and price lists.
•Track the status of requisitions contracts and orders.
•Monitor inhouse inventory movement and complete inventory transfer forms for bookkeeping purposes.
•Monitor contractor performance recommending contract modifications when necessary.
•Track Process Invoices on purchases made on behalf of IT Finance.
•Management of IT Petty Cash according to normal financial processes.
•Ensuring accurate records management using respective SAPRemedy toolsets.
•Notification Processing of IT contract and services renewals in coordination with IT Management
•IT Asset Hardware Software Licence control ensuring all assets received are logged and traceable to assigned BU’sOwners.
•Vendor Profiling via Scorecard and monthly evaluations for review discussions
Skills
•Bachelor's Degree in IT Discipline
•Minimum 23 years previous IT AdministratorProcurement experience.
•Proficient in use of Information Systems Applications to include MS Office WordExcelPowerPoint
•Experience of working across crossfunctional teams and dealing with multiple business units.
•Excellent administrative and communication skills
•Ability to maintain documentation processes and schedules
•Proven facilitation coaching influencing and negotiating skills
•ITIL certification is an advantage Desirable
