We are now recruiting talented individuals to fill our current vacancy for an Administration Assistant to work in our Doha Qatar office.
Duties and Responsibilities
Reception Support
- Assists with the answering and screening of incoming calls when the secretaryreceptionist is unable to do so
- Greets and assists office visitors ensuring that they are dealt with professionally
- Manages schedule of drivers in the absence of the receptionist
- Assists in accommodating meeting room requests
Human Resources Support
- Supports in arranging mobilisation demobilisation and visarelated travels for staff and family including accommodation flight bookings and transportation to ensure satisfactory and straight troublefree trips
- Assists the HR department in mobilising new staff in the aspects of accommodation car hire handsetssim cards
Core Administration Duties
- Supports in completing time sheets of office assistants and drivers who do not have system access
- Provides admin and secretarial support to the managers and staff in order to assist in the production of highquality documentation utilising relevant document processing computer software document compilation and filing skills if required
- Ratify courier car hire hotel travel requests
- Handles building related admin requirements such as parking allocation for staff members and other building services
- Arranges long and short term mobilisation project and office support car hires
- Arranges long and short term accommodation for new joiners and staff on secondment
- Responsible for the upkeep of the company apartments
- Ensures that all staff members are DSEassessed. Takes appropriate action based the results of the assessment.
- Maintains a register of all hazardous substances used or stored in the office. COSHH assessment to be conducted and approved by HampS Manager
- Ensures that an out of office register is maintained by administration staff on a daily basis
- Initiate procurement and reuse of name plates
- Updates staff contact information list
- Supports Office Assistant in maintaining and managing archive records
- Maintains pantry and office supplies inventory
- Acquires suppliers for different office requirements and enhancement projects
- Responsible for raising purchase orders and invoice tracking
- Directs Office Assistants in handling office maintenance issues
- Updates the general office layout and seating allocation
- Ensures that seats for new joiners regular visitors and staff on secondment are effectively allocated
- Maintains and updates approved supplier documents
- Prepares to be appointed and trained as Health amp Safety Office Representative Fire Marshall andor First Aider
- Demonstrates knowledge on various company procedures related to the function
- Learns additional software packages as required by the job and use them efficiently
Qualifications and Experience
- Bachelors degree or relevant secretarial qualification
- Years of experience in a similar role
- Effective written and verbal communication skills
- Demonstrable customer service skills
- Proficient in using in Microsoft applications e.g. Word Excel Powerpoint and Outlook
- Committed to working effectively with the Admin Team
- Excellent client management skills
