Department

The hotel sales marketing department is responsible for identifying customers with group business or volume accounts and booking their rooms food and beverage and ancillary revenues into the hotel. The sales department is the heart of the hotel in that their business decisions affect all of the departments and is critical to the overall success of our individual hotels.



Job Description

Job responsibilities will include but not limited to the following



Check all the incoming emails and action accordingly



Dispatch the faxes to the concern persons as and when received.



Incoming calls to be aware of all callers as VIP and pay attention to

them and assist them as required. Ensure to take a message for the

concerned person in the event they are not in the office and make

sure that the message been delivered to whoever responsible on

their return to the office.



Print out the arrivals day by day for the Team to update highlight the

VIP’s clients. Ensure the weekly activity sheet is updated and ensure

departments are knowledgeable about special VIP guests in house

and their requests.



Requisitions from the store to ensure that we have the entire Mise en

place for a smooth operation.



Coordinate with Sales Team for all the entertainment forms and rate

discount etc. for approval and return it to the concern person.



Assisting the Director and Assistant of SM in their roles with a

variety of tasks that shall ensure the overall smooth running and

coordination of the SM office.



Complete the required paperwork and distribute this and any

additional requests to the relevant departments for VIP guests for

SM.



Preparation of the travel authorization for any SM Team members

travelling prior to their business trip.



Minute taking of sales meeting and other meetings where necessary.



To provide secretarial and administrative assistance to the DOSM and

secondly to provide backup administration to the sales team.



Preparation of correspondence maintenance of appointments diary

for DOSM.



Preparing of the Travel Expense Reports for the SM team members

upon their return for the business trip. Ensure documentation is

completed up to Accounts standard and Team Member’s paperwork

is accepted and cleared.



Requirements

To move into this position you should have



Opera knowledge client facing sales experience.



Graduate Equivalent Qualification



English Language ability excellent oral and written communication

skills



Minimum of 2 years experience in Administration is a must



Computer Proficient Microsoft Office Word PowerPoint Excel



Well groomed and confident with clients.



Able to work long hours with flexible timings



Good interpersonal skills



Interactive outgoing organized personality and self motivated



Communicates well with people Excellent listening skills takes

initiative guest services orientated organized



Good administration skills
