1. Prepare the annual Events Calendar for each location in coordination with the Managing Director

2. Carry out research tasks and specific projects to identify future opportunities for events

3. Coordinate and develop all aspects of the events delivery.

4. Prepare an action plan for each event.

5. Handle amp organize big events locally regionally and internationally.

6. Conduct research and site visits to help staff make decisions about event possibilities.

7. Identify and research new ideas for the event agenda.

8. Develop a database for events suppliers and parties. Producing detailed proposals for events e.g. timelines venues suppliers legal obligations staffing and budgets and maintain accurate and uptodate database spreadsheet and paper records.

9. Plan room layouts seating arrangements and the program scheduling workshops and demonstrations.

10. Organize facilities for permits car parking traffic control security first aid hospitality and press.

11. Identify and secure speakers or special guests where applicable.

12. Identify and secure entertainment opportunities for the event where applicable.

13. Coordinate staffing requirements and staff briefings.

14. Oversee the dismantling and removal of the event and clear the venue efficiently.

15. Create a filing system for the Event Department.

16. Develop and enhance solid relationships with all event partners such as events’ organizers key sponsors and participants.

17. Develop the sponsorship package by establishing levels of sponsorship and accompanying benefits and exhibitor cost and benefits.

18. Conference budgeting

19. Coordination of promotional benefits.

20. Inclusion in conference program and any other requirements.

21. Display space and space needs at the conference.

22. Oversee and administer implementation of the promotion plan including all advertising and submission of conference information to appropriate events calendars.

23. Development of promotional materials including Design and compile all the pieces of a conference booklet to be approved by the conference chair.

24. Development and placement of advertisements appropriate for inclusion in sector related newsletters and printed and electronic media Design development and management of Web pagessite with links to all relevant conference information including but not limited to downloadable registration informationforms agenda Speakers and other links as appropriate.

25. Carry out and Confirm speaker arrangements Ticketing Arrival and departure times and arrange for pickup as appropriate.

26. Lodging preferences.

27. Meeting room set up preferences.

28. Create conference at a glance material including speaker information session titles time slots and room assignments and any relevant certificationcollege credit categories.

29. Determine details and pricing for meals break refreshments receptions and special activities

30. Determine space and arrangements for conference and exhibitors.

31. Design a floor plan and an operations schedule.

32. Establish room arrangements for workshops breakout sessions meals receptions special activities conference.

33. Provide complete listing of all audiovisual and other equipment needs room setup and menus to hotel.

34. Organize and staff space and table arrangements for registration tables and other stands such as assistance information desk...etc.
