Team Coordinator


Purpose



This is a fulltime Team Assistance role to provide comprehensive secretarial and administrative support to the Middle East Africa and South Eastern Europe team based in Dubai in order to maintain the smooth daytoday running of FME’s division. Being an energetic and commercially driven multitasker you will be responsible for coordinating interdepartmental cooperation within FME International by using your organisational communication and interpersonal skills to establish and to develop longterm relationships with the local broadcasters and suppliers.



Main Duties amp Responsibilities



• To research available programme content and circulate to clients includes checking Rights clearances and material availability

• Data management and Database management to ensure consistency and accuracy including business written screeners tracking new and current client files

• Client liaison on contract and material progress to fulfil deal and supply information acts as first point of contact

• General client support incidents questions creation of clients on the web problems with the web

• Prepares deal memo change memo and follows approval process with broadcasters and all FME departments

• Organising and coordinating invoices and taxes certificates

• Coordination of formats for rights clearance trademark registration and production updates flying producers and contracts Iceland and Eire only

• Materials ordering screeners broadcast materials and publicity. Location and recall of on loan materials for new deals coordinating with materials department and HE

• Supplying programme information to clients as and when required

• To coordinate travel market schedules and any other related PA duties for SVP

• Responsible for travel expenses for SVP



General secretarial duties for SVP and VP



• Travel arrangements including itinerary compilation amp distribution

• Meeting room organization and assistance with arrangements for markets and trade fairs

• Diary contact and expenses management

• Admin duties including filing photocopying and sorting mail

• Respond to general enquiries about FLW and its content portfolio

• Reception duties including meeting and greeting visitors

• Restaurant Taxi and courier organisation

• Support the arrangements for oneoff events

• Organise and maintain good internal relations within FME colleagues internationally

• Cultivate and improve external relations with new and existing suppliers producers and talents from various contact channels

• Anticipate principle needs surrounding scheduled events

• Attend bimonthly meetings and prepare monthly meetings notes

• Keep on top and ensure subscriptions are maintained

• Set up and guide new joiners to the team including IT issues and office facilities

• Organise and fill invoices billing sheets purchase orders or similar


المهارات


• Previous PA or administrative assistant experience in media sector

• Experience of reporting directly to senior management

• Experience of working under pressure with critical deadlines

• Tenacious and courteous attitude with professional presentation and demeanour

• Excellent interpersonal communication and relationship building skills with a friendly and approachable attitude

• A strong multitasker with good organisational and prioritisation skills

• Good timemanagement skills in daytoday administration

• Excellent accuracy and attention to detail whilst understanding the bigger picture

• A strong team player with ability to work on own initiative when required

• Commercial awareness and analytical approach

• Respond to changing circumstances be flexible and manage change within a dynamic environment for the benefit of the organisation

• Advanced PC skills including MS Word Excel PowerPoint Internet and Lotus Notes

• Excellent written and spoken English other languages is a plus

• Be ready to start immediately
