Legal Secretary
One of the top international law firm is looking to hire a Legal Secretarynbspto provide a high quality comprehensive secretarial service to principals in the groupdivisionfirm as required based in Abu Dhabi. The candidate will
Undertake all aspects of the secretarial role as required
Provide an excellent service to clients
Demonstrate flexibility in supporting principals and fellow secretaries
Proactively contribute to the groupdivisionfirmsrsquo success by actively seeking to improve working processes anticipate needs of clients and colleagues and take action accordingly
Key responsibilities
Undertake all document production tasks to the highest standards and to agreed deadlines using appropriate software and all available resources
Type from audio and manuscript using house style documents and non house style where required
Prepare PowerPoint presentations and Excel spreadsheets
Draft simple correspondence
Manage principalsrsquo calendars
Arrange conference calls meetings catering
Coordinate all travel arrangements including taxis accommodation and expense forms as appropriate
Prepare and collate papers ahead of meetings
Deal with internal and client calls in a timely confident helpful manner and pass on accurate messages as required action where necessary
Deal with visitors in a confident and professional mannerAssist in preparation of bill narratives and draft cost details
Deal with incoming and outgoing mail
Monitor emails as required and forwardaction as necessary
Maintain updatereminder system of ongoing mail if required
Establish and maintain effective and accurate filing systems hard copy and electronic
Assist in opening new clients and matters as required
Keep client contact details and lists up to date
Attend training as required to keep up to date with firm wide procedures
Working proactively as part of a team to ensure time is used effectively using all available firm wide resources to meet pressured deadlines
Participate in group specific activities such as message desk
Effectively manage and prioritise work
Requirements
Minimum 5 GCSEs or equivalent
Fluent written and spoken English
Minimum 2 years secretarial experience in a professional servicescorporate environment
High level of proficiency with Microsoft Office particularly
Word
